Managing Microsoft 365

Here are some little known tips to help your productivity

1) Use the search function

Typing “Team” in the Search field will display a list of all your Teams. You can use this to search for people, lists, apps, and more by typing the name of what you are searching for and hitting Enter.

2) Use hotkeys

You can customize how you interact with Teams by using the “Hot Keys” option on the menu bar. To access this functionality, select Tools > Customize to access a menu. Here you can configure the hotkeys to your liking.

3) Put your cursor in the search box to start a search

Just like in other Office apps, when you put your cursor in the search box, you will see a list of active searches appear above the keyboard. You can use this as an alternative way to access previous searches.

4) Invite users via email

You can invite users to a chat or channel via the Message Center. When you hover over a channel’s name, you’ll see options to join, leave, and manage membership. To invite someone to an existing channel, select Invite People and type in their email address. You can also search for people by typing their names in the search bar.

5) Use a QR code for joining a chat/channel

Teams will prompt you to install the Microsoft Teams mobile app when it detects you are using your mobile device. Once installed, you can enter Teams on your phone or iPad and access all of your teams from anywhere. If you are already a member and want to join a chat or channel, you can use the QR code to join directly from your mobile device.

6) Open files from the web instead of opening them in Edge

Microsoft Sites, which is an Office 365 web app, allows you to upload any document from your computer’s file system. You can then open those documents by double-clicking them within Teams. Just click on the downward-pointing arrow at the top right of the app window and select “Open File.” You’ll find this on any document that is uploaded to Teams as well as in any documents hosted outside of Office 365 where Document Cloud is installed.

7) Set up notifications to notify you of new messages

To receive notifications when there is a new message in your Teams channel or chat, click on the gear next to the name of the person that sent the message. This will pull down the list of all notifications. You can then choose what type of notification you want: email, voice call, or SMS.
