Hosting an event, no matter how big or small can be quite a challenge – especially if you have never hosted one before.
There is a huge amount of logistics to take care of and there is so much scope for things to wrong.
The flip side, of course, is that if you get it all right, it will contribute towards an amazing occasion and one that people will likely talk about for many years to come.
The type and nature of the event may vary – it could be a concert, a talk, a party or a sports event.
Whatever it is, plan well, take care of the details and enjoy your moment. Here are a few simple tips or tricks to ensure that it all comes together nicely.
Darkness is not your friend
Make sure that your venue and the surrounding areas are appropriately lit.
This is particularly important for security reasons. If it is too dark, particularly in the surrounding vicinity, the chances or muggings or mischief is higher.
Similarly, the entrance area needs to be well illuminated to ensure an easy transition from the outside to the inside and vice versa.
Your bouncers and ticket-checkers need to be able to see who is meant to be there and who isn’t.
If hosting this type of event is going to be something that you do regularly then look for a place where there are LED light towers for sale.
These are remarkably well priced, and they cast huge amounts of light. They are an investment well worth making.
Security
You can never have too much security. Find a security company that employs well-trained, disciplined people.
You need to get the balance right as too much security means that nobody does anything – they all tend to operate at half capacity which is not what you want.
But you need to ensure that you do have enough people in the event of an emergency.
Fencing
If you are anticipating a big crowd, then look to get some fencing in. What you don’t want is a heaving mass of people all trying to get through the door at the same time. A well-constructed security fence will help manage this flow of people.
It keeps order, is a fair way to ensure that whoever was in the queue first enters first, and it will prevent crashes and stampedes.
Fire Extinguishers
These are a crucial element of the safety plan. Don’t just know where they are, check that they are working and ready to go in eth event of an emergency.
Also, check that the fire escape doors work.
The last thing you want is an emergency and an inability to react to it. If everything goes well there really is nothing to worry about, but it is when things go awry that you need to have done your planning.
Parking
Make plans to ensure that your guests can park relatively close to the venue. Speak to neighbouring premises and make plans. Even if it means having shuttle busses or an arrangement with Uber in place. You want people to be able to get to and from the venue easily – in many instances, this should factor into your initial venue selection. A place with ample parking should always trump another venue.
